Summary:

The Senior Administrator/Order Entry reports to the Senior Manager and is a primary resource for all Order Entry for the Americas, as well as division Administration. Working in conjunction with the TRUMPF Huettinger Sales, Service and Applications teams, the Sr. Admin/OE provides reliable solutions for all administrative and order issues to assure complete customer satisfaction through all stages of the sales cycle. The Sr. Admin/OE must be able to establish and maintain strong relationships throughout the development and sales cycle and cooperate closely with the experts of the product centers in Germany and Poland.

Primary responsibilities:

All Customer Service activities related to customers, including the issuance of quotes, creating Sales Orders, Purchase orders, Delivery and Billing through SAP.

Monitor and acknowledge customer demand signals using customer portals within the specified timeframe

Process evaluation POs for demos and coordinate evaluation with Sales

Manage customer requests and coordinate with account manager.

Assist with consignment forecasting, inventory, customer PO and release transactions with Sales.

Maintain Customer orders from entry in SAP to final goods delivery

Place and track factory orders with Headquarters in Germany and Poland

Expedite/Track Customer orders with Planning and other functions as needed

Manually maintain scheduled ship dates in SAP for Internal POs and Sales Orders

Ensure proper shipments to Customers' locations

Maintain customer portal with delivery data based on scheduled ship dates and factory of origin

Upload consignment deliveries into specified customer portals

Generate credit/debit memo as required to reconcile payments and obtain appropriate approval based on value

Invoice all Customer deliveries as needed for standard orders

Own resolution of order and delivery related Customer problems / escalation processes

Shipping of production units and other site operational items

Develop and implement WH layout modifications to support improved efficiencies as needed.

Drive/Implement KPI's to manage the success of receiving, shipping, and Inventory count programs.

Partner with Sales and Customer Support to ensure we are meeting customer expectations and expedite requests as necessary.

Drive appropriate lean initiatives to improve productivity throughout the organization.

Ensure shipments are in compliance with tariff and customs regulations.

Directly lead investigations on customer or shipping complaints to identify root cause and drive implementation of corrective actions.

Requirements:

2-5 years Customer Service experience

Customer portal management experience strongly preferred

5+ years in a manufacturing management setting with experience in WH management, Import/Export, inventory management, shipping, and warehousing.

Experience with SAP systems required

Microsoft Outlook, SAP and Excel proficiency required

Understanding of Basic Electronics a strong plus

Occasional travel may be required
